Refund Policy — Bhawani Travels

1. Overview

At Bhawani Travels, we understand that plans can change. This Refund Policy outlines the conditions under which refunds are provided for cancelled or amended bookings. All refund requests must be submitted in writing via WhatsApp (+91 99848 85666) or email (bookings@travelsbhawani.com). The date of written notice determines the applicable cancellation tier.

2. Cancellation & Refund Schedule

Refunds are calculated as a percentage of the total confirmed booking amount:

Example: Cancelling 20 days before departure on a ₹15,000 package = ₹9,000 refund (60%), ₹6,000 cancellation charge.

3. Non-Refundable Components

Regardless of when a cancellation is made, the following are non-refundable as they are paid directly to third parties:

Nepal Tourist Entry Visa fees (if arranged by us)
Trekking permits — TIMS card, ACAP, Langtang, or Sagarmatha permits
Train or flight tickets booked on your behalf
Non-refundable hotel deposits already paid
Guide and porter advance payments

4. Cancellation by Bhawani Travels

In the event we cancel a tour due to:

Insufficient group size (for group departures)
Natural disasters, floods, landslides, or extreme weather
Government-imposed travel bans or border closures
Political unrest, strikes, or civil disturbances in Nepal
Any other force majeure event

We will offer: (a) a full refund of all amounts paid to Bhawani Travels, or (b) rescheduling to an alternative date at no extra cost. We are not liable for additional expenses incurred from other providers (flights, visas, etc.).

5. Trip Amendments

Date change (30+ days before): No amendment fee; subject to availability.
Date change (7–29 days before): ₹500 per traveller amendment fee.
Date change (less than 7 days): Treated as cancellation and re-booking; standard cancellation charges apply.
Reduction in group size: Treated as partial cancellation; charges apply per the schedule above for dropped travellers.

6. Mid-Tour Cancellation

No refunds are provided for unused services (accommodation, meals, transport, or activities) if you choose to cut short your tour once it has commenced — including early return due to personal reasons, illness, or dissatisfaction. Travel insurance is strongly recommended to cover such scenarios.

7. Refund Processing

Processing time: Approved refunds are processed within 7–14 business days from the date of written cancellation confirmation.
Refund method: Refunds are issued via the same payment mode originally used — UPI, bank transfer, or cash (for in-person payments).
Bank charges: Any transaction or bank charges incurred during the refund process are borne by the traveller.

8. How to Request a Refund

Send a written cancellation request via WhatsApp to +91 99848 85666 or email bookings@travelsbhawani.com
Include your full name, booking reference, departure date, and reason for cancellation
We will confirm receipt and communicate the applicable refund amount within 48 hours
Provide your bank account details (account number, IFSC, holder name) or UPI ID for the refund
